Attached User Manual
A Brief User Phone Manual is attached to this posting. The intent of this manual is to provide end users with a way to initially log in and access their voice mail (VM) system and to provide instructions for a number of the more common phone features/functions. A video link has also been provided, which also provides similar instruction for accessing VM and using key features. However, you should refer to the attached User Manual when first logging into your VM account.
Video Training
For video training, click here. Once on the website, select the 'Polycom VVX 500 / 600' play button to watch the training video. This video will provide you with the basic features of our phones.
Please note that when first accessing and setting up your voice mail box, please refer to the 'User Phone Manual' that is at the bottom of this page, do not use the information provided within the video.
More Advanced Features
The information below is intended to provide quick access to instructions on features that are not included in the attached manual. The I.T. Dept. will continue to update this posting as we discover the needs of the organization's phone use.
Call Pickup of a specific extension (this only works on phones with the 'Premium Office Package' and most phones do not have this package):
This is different than using the soft keys of 'More' and then 'Pickup', as this automatically picks up the longest ringing call within a defined call pickup group.

Email VM Messages:
You may have a situation where you want VM messages, for a given phone or set of phones, to go to an email account. To do so, just call I.T. for assistance and we can provide you with the following options:
- Send email notification that I have received a VM message,
- Send email notification with attached VM .wav file. Leave VM in Phone VM box,
- Send email notification with attached VM .wav. Delete VM from Phone VM box.
Transfer a voice mail message from one voice mail box to another:
Special Note: You can not transfer an existing VM message to a Custom Call Route Number, you can only transfer to another Phone's VM box. The Custom Call Route Numbers that exist are within the organization are 3700, 3101 and 3711.

Transfer an active call directly to a VM box:

While on the phone with the patron, select the soft menu keys 'More' and then 'VM Xfer',

Enter your desired extension and select the 'Enter' soft menu key.
- The user will be sent right to the desired VM box.
Voice Mail access from outside the organization:
- Dial the phone number of the phone's VM box you wish to access,
- Wait for the recorded message and then press the * key,
- Enter your passcode and you will be logged into the desired phone's VM box.
